Definition

Conversation intelligence is software that records, transcribes and analyzes sales and customer conversations to pull out what was said and what it means: topics, objections, next steps, competitor mentions and talk patterns. Teams use it to coach reps, review deals and spot trends across many calls instead of relying on memory or scattered notes.

How conversation intelligence works

  1. Capture. The tool records calls and video meetings, either by joining as a participant or by capturing audio on the user's device.
  2. Transcribe. Speech becomes searchable text, with each speaker labeled.
  3. Analyze. Language models and rules tag topics, questions, objections, pricing talk and commitments.
  4. Surface. Results show up as call summaries, deal notes in the CRM, alerts and dashboards across many calls.

The value comes from the last step. A transcript nobody reads changes nothing; a short note that says "two of this week's buyers asked about annual pricing" changes the next call.

What teams track

  • Objections. Which concerns come up most, and how the best calls handle them.
  • Competitor mentions. Who buyers are comparing you to, and in what terms.
  • Next steps. Whether a call ended with a clear, dated commitment.
  • Talk-to-listen ratio. How much the rep talked versus the buyer.
  • Questions asked. Whether reps ran real discovery before pitching.

Conversation intelligence vs an AI notetaker

An AI notetaker focuses on one meeting: record it, summarize it, list action items. Conversation intelligence goes further and looks across many conversations, for coaching, deal reviews and market patterns. The line is blurring, since many notetakers now add cross-call search and analysis.

An example

Say a sales team of three loses several deals in a row. Searching the last 40 call transcripts for "price" and "contract" shows that buyers keep asking about annual commitments, and reps answer differently each time. The team writes one clear answer and a monthly option. That is the kind of insight that's hard to see from memory but easy to find in transcripts. For a structured version, see win-loss analysis.

How Siela AI uses it

Siela records meeting notes from its desktop app with no bot, turning each call into a transcript, decisions, owners and follow-ups linked to the contact, with a follow-up email drafted for your approval.

Questions

Is conversation intelligence only for large sales teams?

No. Large teams use it for coaching at scale, but a founder or small team gets value from searchable transcripts and automatic summaries. Reviewing what buyers actually said, in their words, helps with messaging and follow-ups at any size.

Do you need consent to record sales calls?

Often, yes. Recording laws vary by country and state, and some require every participant's consent. Most conversation intelligence tools announce the recording or let you notify attendees. Check the rules that apply to you and your buyers, and when in doubt, tell everyone upfront.

Less jargon, more conversations.

Siela AI finds people with a fresh reason to talk, reaches them on LinkedIn, X and email from your own accounts, and keeps your social going.
