Gmail AI Inbox Cold Email Guide: Rewrite Your First Line

In short

Gmail's AI Inbox began rolling out to paid Google Workspace users on 12 October 2026, with Scheduled Release domains from 26 October, for US English users only and with no admin switch. It lists to-dos and topic summaries from Primary-tab email. For cold email, that puts the weight on a first line saying who you are and why you're writing, and on one clear, dated ask.

What is Gmail's AI Inbox, and who has it now?

AI Inbox is a Gemini-powered view in Gmail that lists suggested to-dos and summaries of the topics you need to catch up on, pulled from your email. Google started a gradual rollout to paid Google Workspace users on 12 October 2026, so some business buyers in the US are starting to see it this month.

Three details from Google's 15 October announcement matter for anyone sending cold email to companies:

  • No admin switch. Google says: "There is no admin control for this feature." Individual users can still show or hide it in Gmail's settings.
  • US English only, for now. The feature is only available to users in the US with EN-US as their language.
  • Business editions. Google lists Business Starter, Standard and Plus and Enterprise Starter, Standard and Plus, while noting that Starter and Education editions get it later, in the coming months.

What does AI Inbox do with an email?

AI Inbox turns emails into two lists: suggested to-dos and topics to catch up on. Google's Workspace announcement says the to-do list automatically pulls out action items, deliverables and deadlines from email conversations, and the topics list gives summaries of your most important topics across threads.

The Gmail Help article on AI Inbox adds the limits that matter for senders. To show the most relevant items, AI Inbox:

  • Only surfaces information from messages in the Primary tab, not Social or Promotions.
  • Filters out spam and messages the user archives, deletes, mutes or snoozes.
  • Does not support attachments, delegated inboxes or encrypted emails.

Beyond those filters, Google has said little about how AI Inbox decides what is important. When it announced the feature in January, Google wrote that AI Inbox identifies a user's VIPs "based on signals like people you email frequently, those in your contacts list and relationships it can infer from message content." Neither Google page we checked goes further, so treat any precise claim about how much cold email it hides as unproven.

Two more facts keep this in proportion. AI Inbox is a separate view opened from Gmail's left panel; the normal inbox is still there. And Google's help page labels it a beta that may change over time.

What does AI Inbox mean for cold email?

In our reading, the content of a cold email has to do the work: of the three VIP signals Google names, message content is the only one a stranger can influence. A cold sender is not someone the buyer emails often, and is rarely in their contacts.

Four practical points follow from Google's description. This is our reading of it; Google has published no rules for senders.

  1. Placement comes first. AI Inbox only surfaces information from messages in the Primary tab, so an email filtered to Promotions or spam will not appear in it. Google's sender guidelines, written for mail to personal Gmail accounts, require SPF or DKIM for all senders and a spam rate reported in Postmaster Tools below 0.3%, and recommend staying below 0.1%. We treat them as the baseline for business inboxes too.
  2. The first line carries the relationship. If the opening says who you are and why you are writing to this person, there is something to infer. "Hope you're well" gives a summary nothing to work with.
  3. A clear ask can become a to-do. The to-do list extracts action items and deadlines. An email with one specific request and a date has one. An email that ends "let me know your thoughts" may not.
  4. Attachments don't count. AI Inbox does not support them, so anything important in a PDF needs to be in the body text too.

The normal inbox is still there too, so the same first line is doing two jobs: earning the open and giving any summary the facts it needs.

How do you write a first line that survives a summary?

Put the reason for writing, who you are and what you want into the first two sentences, using facts the reader can check. Each rule below is our advice for writing to AI Inbox users; Google has not published a style guide for it.

  • Lead with the trigger. Name the specific thing that made you write: a job post, a product launch, a talk, a post they wrote. Specifics are what a summary has to work with.
  • Say who you are in one clause. Role, company and what you do in under fifteen words.
  • Make one ask, with a time. "Is a 15-minute call on Thursday useful?" is an action item. "Would love to connect sometime" is not.
  • Keep it in the body. No attachments, and no key point hidden behind a link.
  • Cut the throat-clearing. Delete "I hope this finds you well", "I wanted to reach out" and "I came across your profile". They take the first line and say nothing.

A quick test: read only your first two sentences and your last one. If a stranger could not say who you are, why you wrote and what you want, rewrite them. Our list of cold email opening lines has patterns sorted by trigger.

Before and after: three first lines rewritten

Here are three common cold email openers and a rewrite of each. These are examples we wrote for this post; the bracketed parts are placeholders, and none of this is real AI Inbox output.

BeforeAfterWhat changed
Hope this email finds you well! I came across your company and was really impressed with what you're building.[Company] posted two SDR roles in Austin last week. I run [Agency], a four-person team that books meetings for B2B software firms while new SDRs ramp up.A checkable trigger, who the sender is, and why now, all in two sentences
Are you struggling to keep your CRM data clean?Your post on Tuesday said your reps spend Friday afternoons fixing CRM records. [Product] syncs call notes into HubSpot automatically, so that work goes away. The pain in the reader's own words, then what the product does about it
Quick question for you. Let me know your thoughts!Would a 15-minute call on Thursday 29 October be useful to compare your onboarding emails with ours? Reply yes and I'll send a calendar link. One ask with a date and an easy next step, which gives a to-do list something to extract

The rewrites are longer, and each extra word is a fact. That is the trade worth making: a summary can shorten a specific sentence, but it cannot add specifics that were never there.

A cold email template written for AI Inbox

Use four short lines: trigger and who you are, the problem, one proof point, and one dated ask. Copy it, fill the brackets, and check every claim is true for that reader.

Keep it under about 120 words, so the ask is never far from the first line. Follow-ups should stay in the same thread and add one new fact each time; our guide to cold email sequences covers timing.

If you send through Siela's AI SDR, this template matters even more: the first email is your own template, sent with each person's name, company and title filled in, and AI follow-ups continue in the same thread. The first line is yours to write.

What should you change this week?

Rewrite the first line and the ask in every live first-touch email before Scheduled Release domains start getting AI Inbox on 26 October.

  1. Check authentication and spam rate

Confirm SPF or DKIM is set up for every sending domain, and check your spam rate in Google Postmaster Tools: Google's guidelines require under 0.3% and recommend under 0.1%. AI Inbox cannot surface an email that lands outside Primary.

    30 minutes
  2. Rewrite every first line

Open each active sequence and apply the two-sentence test above to step one. Replace greetings and compliments with the trigger and who you are.

    1 to 2 hours
  3. Give every email one dated ask

End each email with a single request and a day. Remove second and third asks.

    Same session
  4. Move attachments into the body

Paste the key line from any attached deck or PDF into the email itself. AI Inbox does not support attachments.

    15 minutes
  5. Look at it yourself

If your own Workspace account is in the US and set to English, open AI Inbox from the left panel once the rollout reaches your domain, and see which of your own threads it surfaces. Google says the first to-dos and topics can take up to 7 days to appear after smart features are turned on.

Frequently asked questions

What is Gmail AI Inbox?

AI Inbox is a view in Gmail, powered by Gemini, that shows suggested to-dos and summaries of topics to catch up on, drawn from your email. Google says it extracts action items, deliverables and deadlines from conversations. It only surfaces information from messages in the Primary tab and is labelled a beta. The normal inbox remains available alongside it.

When is AI Inbox rolling out to Google Workspace?

Google began a gradual rollout to paid Google Workspace users on 12 October 2026 for Rapid Release domains, with Scheduled Release domains starting on 26 October 2026. Each phase can take up to 15 days to become visible. Google says Starter and Education editions get it later, in the coming months.

Can Google Workspace admins turn off AI Inbox?

No. Google's Workspace Updates post for the rollout says there is no admin control for this feature. Individual users can show or hide AI Inbox themselves from Gmail's settings, on the Inbox tab, by checking or unchecking the box next to Show AI Inbox. It also needs Gmail's smart features turned on.

Does AI Inbox show emails from the Promotions tab?

No. Google's help article says AI Inbox only surfaces information from messages in the Primary tab, and not from other tabs such as Social or Promotions. It also filters out spam and messages the user archives, deletes, mutes or snoozes, so inbox placement comes before anything you write.

Does Gmail AI Inbox hide cold emails?

Google has not said so. It says AI Inbox identifies important senders using signals like people you email frequently, your contacts and relationships it can infer from message content. Cold senders usually lack the first two, so content matters most. Google has published no figures on how often cold email appears, and the normal inbox is still there.

Is AI Inbox available outside the US?

Not at the moment. Google says the feature is currently only available to users in the US with English (EN-US) as their language. If most of your buyers are outside the US, your normal inbox placement and subject line still decide most of what happens, though clear first lines help everywhere.
